The appointment request process is one of the most valuable parts of the EsportsTravel Summit experience. Use the resources below to access the appointment portal, review important deadlines and learn how to maximize your meeting schedule.

How the Appointment Process Works

STEP 1:
Access the Portal

Log in to the appointment portal using the email address (all lowercase) provided in your registration confirmation.

*Important note for Exhibitors: If you are sharing a table with another company/or person attending from your company, the primary registrant has access to the system and that person's email address should be used to access the platform to make requests.  

Initially, leave the password field empty (blank). You can set a password after your first login (although this is not required), by going to My Profile (on the left) > Change Password button 


Complete Your Profile Updates & Corrections
If you need to update your profile, please email mcharney@ntmllc.com. To maintain consistency across all event systems, our team will make the updates on your behalf.

STEP 2:
Request Appointments

In the system, you can view the full Directory of participating planners/exhibitors. Click on their photo to view their complete profile. 

You can search by Name, Company, or use the Advanced Search Button (looks like a funnel) to narrow your search for attendees using key filters about them.  

To request appointments, you click on the button under their photo - select "Request”, Do Nothing, or “Exclude," and choose a priority level to request them. (priority 1 is highest priority, priority 5 is lowest priority)

STEP 3:
Review Your Schedule

You can log in multiple times to adjust your selections. Use the left hand margin “buttons” to see who you have already requested. 

Please complete the process by 5 pm Eastern on Wednesday, June 10. 

Appointment schedules will be released on the afternoon of Tuesday, June 16. Once the schedules have been published, you can log in to the appointment system to view and print your schedule.

✔ Review attendee profiles before submitting requests
✔ Prioritize your highest-value meetings first
✔ Submit a full list of requests rather than only a few selections
✔ Ensure your profile accurately reflects your organization
✔ Check portal updates regularly throughout the scheduling process
✔ Be open to discovering new organizations and business opportunities

Key Information

  • We recommend making a minimum of 30 appointment requests minimum. See info below, in the last bullet, about printing a list if you want to review and take some notes as you review the list. 
  • There are 22 total appointment slots over the two days of appointments. A full schedule will consist of between 18 - 20 one-on-one appointments, based on the requests you make and receive. There will likely be some open appointment slots in your schedule for breaks. Please remember there is ample networking time throughout the event to meet others with whom you don’t get a scheduled one-on-one appointment.  
  • You should prioritize 10 to 15 "Priority 1" requests (Note: Most of your requests should be Priority 1 or 2 so you match with the people you most want to meet). The system will match mutual matches first, then by planner and supplier “one-way” requests. 
  • Exhibitors: You can make up to 6 "Exclude” notations for anyone you definitely do NOT want a meeting with (i.e. you know them already, met them recently, etc.). Exclusion requests are not seen by the other party. It just means that an appointment will not be set with that person, even if they request you. Email bdean@ntmllc.com or dmadden@ntmllc.com if you need more exclusions, with reasons.  
  • Event Organizers: You can make up to 4 "Exclude” notations for anyone you definitely do NOT want a meeting with (i.e. you know them already, met them recently, etc.). Exclusion requests are not seen by the other party. It just means that an appointment will not be set with that person, even if they request you. Email ngoddeyne@ntmllc.com or dmadden@ntmllc.com if you need more exclusions, with reasons.  
  • Cancelling a request is easy; simply click again on the same priority number. 
  • If you know you will be unavailable during certain times, you can block those slots. Email bdean@ntmllc.com or dmadden@ntmllc.com with any conflict times by 5:00 p.m. ET on Wednesday, June 10, so we can accommodate. 
  • Exhibitors and sponsors are invited to participate in the Event Organizer Reverse Marketplace on Tuesday, June 23, at 4:30 p.m. to fill open appointment slots. This is an opportunity to connect with esports event organizers, schedule additional meetings and coordinate other times to meet during the EsportsTravel Summit.
  • Printed profiles of attendees are not provided onsite; but you can print, or save as a pdf, a directory style listing from Print Options on the left drop down menu (not the top right). You can either Print Contact Info, or a longer (document under Print Profiles. Alternatively, you can use the upper right “Print List” button (a few pages without photos).

How do I access the appointment portal?

Can I edit my requests after submitting them?
Yes, requests may be modified until the appointment request deadline.

When will I receive my final schedule?
Appointment schedules will be available following the matching process. Refer to the Important Dates section above.
